Job Summary:

We're seeking a detail-oriented Technical Writer (Section 508 Documentation Specialist) to ensure high-quality project deliverables for our RPMS software projects. The ideal candidate will have strong technical writing and editing skills, with the ability to work collaboratively in a structured environment.

As a remote Technical Writer, you'll ensure high-quality and accessible documentation for our client. Your primary responsibilities will include:

• Editing, formatting, and remediation of technical and non-technical documents (user manuals, reports, training materials, SOPs) to meet Section 508 accessibility standards.

• Collaborating with Software Quality Assurance and Development teams to manage and track documentation projects, ensuring accuracy and compliance with industry and government standards.

• Utilizing tools like Azure DevOps to manage projects and organizing files and correspondence within Microsoft Outlook and other systems.

• Conducting research on technical and medical information relevant to RPMS for inclusion in project documents as needed.

You'll play a key role in delivering high-quality documentation that meets accessibility standards, working closely with cross-functional teams to ensure accuracy and compliance.

Job Duties and Responsibilities:

  • Deliver error-free and 508-compliant documents by reviewing, editing, and formatting software documentation, presentations, workbooks, proposals, reports, SOPs, and other artifacts to meet contract requirements and government regulations. Work with various formats, including MS Word, Excel, PowerPoint, and PDF.
  • Perform rigorous quality control reviews on incoming documentation to ensure error-free, accurate, and 508-compliant final products, applying established 508-remediation guidelines in native formats (MS Word, Excel, PowerPoint) and converting to Adobe PDF for further tagging.
  • Review and remediate software artifacts following established standards and guidelines, with an average annual volume of 250 documents (approximately 12,000 pages).
  • Understand and implement proper PDF tagging techniques using Adobe Acrobat to meet Section 508 standards, including tagging, logical reading order, heading structures, and alternative text for images.
  • Utilize Adobe Acrobat's Accessibility Checker to validate and remediate identified accessibility problems.
  • Collaborate with cross-functional teams to review, edit, and report findings for software remediation being performed, adhering to 508-remediation guidelines and industry standards.
  • Work closely with Software Quality Assurance (SQA) and Software Development teams to manage documentation projects in Azure DevOps (ADO).
  • Apply standardized editing and formatting practices based on the Chicago Manual of Style, alongside IHS Style Guide and internal SOPs.
  • Conduct research to gather technical, medical, and background information to inform project documentation and deliverables, following government guidelines and regulations.
  • Ensure document version control and organization through the use of Windows Directory and SharePoint repositories.
  • Prioritize and manage administrative tasks, including project logging, tracking and organization, and maintain documentation queues and files across multiple platforms.
  • Contribute to the development and implementation of internal process improvements, including identifying opportunities, planning, and documenting changes, and updating standard operating procedures (SOPs) as needed.
  • Provide hands-on support of RPMS goals and objectives, following the precise policies and protocols established by DDC ITS, IHS, and HHS.
  • Other duties as assigned.


Job Requirements (Education/Skills/Experience):

  • Education: BA in English or a closely related field
  • Minimum 3-5 years of relevant experience as Technical Writer, editor, and/or 508 compliance
  • Must be a US Citizen able to obtain and maintain a High-Level HHS Public Trust clearance
  • Excellent verbal and written communication skills
  • Prior experience working as a Technical Writer in a government or government contractor setting 
  • Proficiency in using
    • Adobe Acrobat Pro DC (or similar tool), particularly for PDF tagging and accessibility features.
    • Adobe Acrobat Pro or other PDF document applications
    • Microsoft Office Suite of products, including: Word, Excel, PowerPoint, and SharePoint
  • Experience working in an integrated virtual work environment utilizing various collaboration techniques and tools is preferred
  • Must be a self-motivator with the ability to work remotely as part of a team, or independently with little supervision or direction
  • Preferred Qualifications:
    • Active IHS Public Trust
    • Understanding and experience working with The Chicago Manual of Style and/or Microsoft Manual of Style for Technical Publications.
    • Ability to learn and use style guides and policies quickly is preferred
    • Experience with RoboHelp and Lifecycle Design is preferred
    • Prior, successful experience working in a remote environment
    • Understanding and experience with HHS Electronic and Information Technology accessibility standards
  • Ability to work in cross-functional team
  • Required to travel 5-10% in support of this contract.
