JRAD is seeking candidates for an Executive Assistant (EA) to provide subcontract support services to the US Army Project Manager Combat Ammunitions Systems (PM CAS). This full-time position is located Picatinny Arsenal, NJ.
POSITION SUMMARY / HIGHLIGHTS:
Provide senior-level administrative support to the Joint Program Executive Office for Ammunition & Armaments (JPEO A&A). This position is located at Picatinny Arsenal in support of mortar and artillery programs.
Tasks may include reviewing acquisition documents, preparing briefing charts, attending technical integrated product teams (IPT) meetings on programs and preparing meeting minutes and actions; coordination and supporting Government activities including meetings, conferences, etc. Prepare daily accountability reporting for aggregation and submittal to higher headquarters, assist personnel in completing timekeeping records and alert certifying officials of any potential issues, needed certifications, or out of cycle processing. These tasks require a working knowledge of software application programs, such as MS Office, Windows, and SAP applications or equivalent/successor programs.
Roles/Responsibilities:
● Provide administrative to support PM CAS PdM Precision Fires & Mortars (PdM PFM) and PD Joint Services (PD JS). This includes administrative support to the Product Manager, deputy, Artillery, Mortars, and Precision Systems (AMPS), military personnel and staff.
● Prepare security clearance requests, training requests, travel claims, visitor passes, briefing materials, reports, other forms and correspondence.
● Review, prepare and distribute documentation in accordance with (IAW) Army regulations and policies to the JPEO A&A/PM CAS/PdM PFM community.
● Assure that the content of all official correspondence is consistent with JPEO A&A/PM/PdM mission, goals and objectives ensuring clarity, completeness, grammatical and procedural correctness and conformance to regulation and command standards.
● Serve as point of contact for coordinating calendars, meeting arrangements, reserving conference rooms and scheduling activities.
● Review, analyze and distribute JPEO A&A/PM CAS/PdM PFM policies and guidelines.
● Prepare daily accountability reporting for aggregation and submittal to higher
headquarters, assist personnel in completing timekeeping records and alert certifying
officials of any potential issues, needed certifications, or out of cycle processing.
● Create CONUS and OCONUS travel orders using the Defense Travel System (DTS) for
Government civilians and military personnel and making hotel, rental vehicle, and flight
reservations. All individuals must be qualified and experienced in DTS.
● Collect and maintain travel records in compliance with the PM CAS Travel Policy.
● Complete travel vouchers and reconcile Government Travel Charge Card.
● Originate and format certificates for units trained with Mortar Fire Control Systems.

● Oversee and review prepared reports to include Weekly Significant Activity Reports, Monthly Detailed Acquisition Reports, and Quarterly Matrix Ratings.
● Provide caller and visitor reception, asserting nature of call and business of visitors to determine which calls or visitors should be referred to the PM/DPM, to other staff members, or which can be handled personally.
● Coordinate attendance and correspondence for PdM bi-weekly staff meeting.
● Coordinate VTC’s and organizing files to meet Army Records Information Management
System (ARIMS) requirements using Standard Operating Procedures (SOP).
● Schedule, coordinate, and support monthly reviews.
● Enter New Equipment Training Survey responses into the database.
● Provide telephone coverage for PM CAS.
● Provide administrative assistance to other branches or divisions when executive
assistants are absent.
Required Skills and Education:
● Minimum HS and 5 years comparable experience (adequate to accomplish position responsibilities).
● Capable of fluently reading, writing, and speaking the English language.
● Customer service skills including written and verbal communication skills.
● Basic knowledge of computer-based information system concepts.
o Working knowledge and experience with Intel-based personal computers and network servers.
o Familiarity with Microsoft Office Professional including Word, Excel, PowerPoint, Outlook)
Security Clearance:
● Secret Clearance required
o The ability to obtain a Secret Clearance is required for this position.
