Overview

The Office of Global Partnerships (GP) is seeking a set of dynamic professionals to provide administrative support to the office. GP is the U.S. government leader in private sector engagement. GP's mission is to conduct private sector engagement and build and institutionalize public-private partnerships that advance the Department of State's foreign policy goals. GP is the entry point for collaboration between the U.S. Department of State, the public and private sectors, and civil society. External private sector organizations include, but are not limited to the following: for-profit businesses, trade associations, private philanthropy, foundations, academic institutions, faith-based groups, and other non-governmental organizations.

Responsibilities

  • Assist staff with implementing specifically assigned private sector engagement programs to advance foreign policy priorities for the assigned country( ies ), geographic region, or cross-cutting issue(s) (e.g., private sector roundtables, partnership opportunity delegations, public-private partnerships, partnership accelerator programs).
  • T rack and brief on relevant news , cables , and informational reports to GP staff.
  • Process time and attendance and coordinate travel requests for GP leadership.
  • Prepare background materials for the Senior Official's briefings and meetings.
  • Track points of contact in appropriate Departmental bureaus and missions and a wide array of external private sector organizations,
  • A ssist with event planning, program implementation, social media outreach and other various activities as assigned.
  • Independently analyze operational issues pertaining to the efficiency of program and program support activities, logistical issues, equipment issues, and other administrative matters.
  • Coordinates, assigns, and tracks tasks pertaining to the office, including in support of the Senior Official .
  • Draft briefing and action memoranda in final format for the signature of the Senior Official , and initiates action on correspondence which does not require the Senior Official's personal attention.
  • Maintain tracking system to ascertain status of any document tasked out or which has been received for GP's attention and action and ensure GP equities are represented in the clearance process.
  • Manage contacts for GP senior officials using GP's contact management system.
  • Carry out special projects and other duties as required .


Qualifications

  • Strong written and oral communication skills.
  • Experience in an office environment, preferably within the U.S. government.
  • Strong interpersonal skills; must be able to work well with senior officials, staff, and interns.
  • Experience managing all administrative activities for an organization.  
  • Competency in analyzing, evaluating, and developing administrative policies, procedures, and processes.    
  • Expertise with routing, monitoring, and managing the paper flow between offices.
  • Familiarity with drafting briefings, action memorandums and reviewing documents for grammatical errors.
  • Skilled in managing calendars and coordinating travel arrangements.
  • Experience developing short term and long-term project objectives .
  • Experience analyzing and evaluating Department policies and providing recommendations to GP senior staff .
