Proksi Systems is a growing small business that provides a broad range of consulting services to the US Federal Government, US Military, and Commercial clients. Services include IT & Engineering Consulting, Program & Project Management, and Professional & Admin Services. We are recruiting to fill a position to lead business development activities for a small government contracting firm focused on IT Services and Cyber Security for clients in Civil and DoD markets.

Proksi Systems is looking for an Administrative Manager II to work on-site at the Naval Surface Warfare Center, Philadelphia Division (NSWCPD). The Administrative manager coordinates and supports services to organizations.
Job Locations: Naval Surface Warfare Center, Philadelphia Division (NSWCPD) facility (100% onsite to start; transition to hybrid over time).
Type: W2 Only - Full-Time
Start Date: The start date is as soon as available - 2 to 3 weeks.
Clearance: SECRET security clearance (or interim)
DUTIES & RESPONSIBILITIES:
Management of the services that allow organizations to operate efficiently, such as secretarial and reception, administration, payroll, conference planning and travel, information and data processing, mail, materials scheduling and distribution, printing and reproduction, records management, telecommunications management, security, parking, and personal property procurement, supply, and disposal. Implementation of procedures to improve productivity and customer service. Acquire, distribute, and store supplies and dispose of surplus property or oversee the disposal of unclaimed property. Responsible for coordinating the physical workplace with the people and work of an organization.
SPECIFIC Duties:
Candidate will
• Assist and support managers with tasking to include, but not limited to:
o the development of commendation letters and award nominations
o the development of formal department, division and branch-level business correspondence in accordance with SECNAV Instructions containing both programmatic and technical information and system areas.
o illustration, photography,
o various print layout techniques to relay explanation of capabilities,
o knowledge areas, work areas, and major programs, and efforts.
• Utilize government accessible tools such as Microsoft Office 365 Products (Word, Excel, PowerPoint, Access, Project, Sharepoint, Teams, etc.) and non-web-based applications such as tools to provide Abode Acrobat portable document format (PDF) scanning; to develop documents such as
o records listings;
o quality process organizational charts,
o data management,
o graphic design support,
o create visual solutions to communicate messages through print, and electronic media
o develop and maintain organizational charts and employee phone directories
Financial Record Assistance and Timekeeping
Candidate will
• support time keeping data entry, reports management, leave and OT request forms, PS and LRVA error resolution and monitoring.
• Transfer government employee created timesheets into the Navy Enterprise Resource Planning (ERP) tool
• Provide data entry, review and routing oversight for Government personnel travel systems such as Defense Travel System (DTS).
Financial and Program Metrics Organization and Analysis
The candidate will
• Track financial expenditures, develop and manage database of financial documents.
• Provide metrics support, including dashboard, and cockpit charts, as well as other specialized financial reports, in order to track expenditures, reconcile to corporate database (CDB), and remedy cost overruns and labor rejects
• Provide logistical and administrative support for command and department level data calls supporting key metrics.
Employee Training Records and Technical Competency Metrics
The candidate will
• Maintain and update records of employee training requests and completed training for the department.
• Communicate monthly due dates for training requirements to department employees for planning purposes.
• Maintain work center metrics and reports on employee technical competency goals and metrics.
Team Meeting Scheduling and Resource Alignment
The candidate will
• Provide programmatic support in the form of tracking milestones, metrics and key priorities. Support to include, but not limited to, program review session scheduling and managing status submittals.
• Provide meeting, conference, and training support. Tasking includes organizing meetings; developing materials; participating on sub teams; training, and completing action items.
• Generate, and distribute meeting agendas; publish minutes; and follow up on action items.
• Create and manage web-based calendars, or equivalent, for all personnel showing leave/travel/etc. status and keep a current plan of the week with reporting location
Security, Personnel Account, and Physical Access Coordination
The candidate will
• Participate in coordination of transferring and tracking System Access Authorization Request (SAAR) forms for the sustainment / initiation of employee network account access, and visitors’ and contractors’ access to the command via proper security checks for entrance to the physical areas.
• Assist with NSWC Philadelphia Division security badge information management and tracking in order to ensure timely and efficient processing of access or badge requests.
Records Management
The candidate will
• Maintain hard or soft copies of direction, instructions, and other documents that are required to support documentation audits.
• Create and manage file plans along with retention schedules.
Technical Data Consolidation and Reporting
The candidate will
• Collect and coordinate packages of Data Calls such as technical, financial, or manpower information.
• Collect routine status report information at a frequency to be determined by the specific work area (weekly, monthly, etc.).
Asset and Facilities Coordination
The candidate will
• Maintain and update records of employee assets and seats via a database and summarized in reports.
• Participate in coordination of transferring and tracking move requests for the sustainment / initiation of employee space/seating.
MINIMUM EDUCATION:
Bachelor's level degree in Accounting, Finance, Economics, or Business Administration.
MINIMUM EXPERIENCE:
Three (3) years professional experience. Two (2) years of experience performing a variety of programmatic and administrative functions to support the operations of a division, such as preparing correspondence, data entry, database creation, payroll support, coordinating and scheduling meetings, arranging travel, and records management support; monitoring the business output of financial reports and personnel metrics; financial and funding analysis; reviewing policies and directives; metrics development and tracking; word processing and preparing presentations; performing professional level tasks both formal and informal requiring independent judgment, initiative and tact; providing documentation planning and support, project administration, general office support; and has effective communication skills both verbal and written.
Proficient in Microsoft Products (i.e., Word, Excel, and PowerPoint) and Adobe Acrobat.
Working knowledge of the Naval Sea System Command, Naval Surface Warfare Center, and Fleet organizations is desired.
