he Prospective Group (TPG) is seeking an Executive Assistant to support the NCUA CIO including:
Full range of communication, administrative support specialist services, to support the CIO in effective and efficient planning, scheduling, and coordination of meetings and events and general office administration activities.
Position Responsibilities:
Check CIO and Executive schedules online in Outlook to find availability.
Setup Senior Leadership Team meetings using Microsoft Teams Meetings in Outlook
Gather PowerPoint slides from multiple staff and combine into one presentation file.
Take meeting minutes, create a meeting synopsis, and post to SharePoint.
Reviewing and editing documentation such as reports, presentations, whitepapers.
Document meeting minutes and compile action items from attended meetings.
Maintain action item status.
Provide assistance in the compilation, preparation and distribution of meeting notes status reports, and special reports.
Execution of small projects such as designing, building, and executing user surveys and to analyze the responses and create a succinct report on the results.
Development of PowerPoint presentations from scratch based on information or ideas from the CIO.
Assist with ITOC meeting briefing materials preparation and facilitation of the submission to OED.
Coordinate and schedule the full range of OCIO internal and external meetings and events and distribute the meeting notes.
Assist the CIO in gathering information from PMs in the OCIO and organizing and compiling responses.
Monitor OCIO Mail email box on a daily basis. Distribute email from OCIO Mail to OCIO responsible team. Track any actionable requests.
Handle distribution of briefings, reports, and other such materials.
Utilize office automation tools for developing materials.
Handle all administrative tasks associated with this requirement
Provide general meeting logistics supports such as scheduling resources such as meeting room and VTC equipment.
Position Requirements:
“C-Suite” Executive admin support experience or equiv. required
Highly proficient with Outlook, Word, PowerPoint, Excel, and Teams. Ability to post to SharePoint.
Detail orientated and highly professional.
Preferred:
CIO or other front office support experience.
Experience with a financial regulatory agency such as FDIC, NCUA, etc.
