Executive Administrative Support.
Support the daily administrative and personnel functions for approximately 100 personnel to include military, government civilians, and contractors.
Coordinate, track, review and guide all staff actions. Track, review and process administrative and personnel
management actions to include but not limited to military performance reports, promotion recommendation forms, military performance feedback forms, assignment and training notifications, and military and civilian awards and decorations. Submit tracking sheet monthly or upon request to division leadership with current status of administrative and personnel management actions.
Manage awards program to include solicitation messages, nomination packages, board compilation, results, and announcements.
Maintain, review and correct personnel records to include but not limited to duty status, duty title changes, change of raters, position number changes, AEF deployment bands indicators, and aircrew position indicators (API).
Coordinate and track in-processing/out-processing of all division personnel. Manage division checklists and
coordinate with A3E for directorate checklists and updates.
Manage division leave program and serve as unit admin for LeaveWeb.
Provide guidance and assistance to division personnel in completing annual, force, and event ancillary training through Advanced Distributed Learning Service or other directed automated learning sites. Submit personnel training completion reports to division leadership upon request.
Assist division leadership on all manpower actions to include but not limited to unit manning documents (UMD) and Authorization Change Requests (ACR). Review and track manpower actions. Submit tracking sheet to division leadership upon request.
In the absence of the division secretary, perform primary information management and administrative support for the division chief and deputies; maintain division chief and deputies’ office calendars; monitor organizational box; assign taskers to correct OPR; and receive telephone calls ascertaining the nature of the calls.
Assist division secretary to maintain and coordinate division chief and deputies’ office calendars and schedules to reflect personnel availability and SME coverage to include appointments, leave, vacation, and travel.
Assist division secretary to accomplish and maintain division records management. Liaise with Information
Managers and assist with maintaining SharePoint and Air Force Records Information Management System (AFRIMS). Assist with division level SharePoint site content and access.
Assist division secretary to build and maintain division leadership schedules to include conference, meeting
agendas and travel plans. Prepare and coordinate office calls, briefings, conference development and special projects.
Assist division secretary in maintaining and tracking administrative office supplies and equipment for the division. Submit requests for administrative office supplies and equipment as required.
Assist with division level mail management and distribution.
Assist the division Security Manager. Accomplish all required security training, coordinate/input visit requests for secure facilities/programs, coordinate investigation/re-investigations process and read-in access, and conduct quarterly inspections with members of A3 or the 633 ABW Security Office. Ensures necessary entry access letters and alarm access letters are updated as required.

4.7.1 (a) USAF Headquarters Staff (NAF, MAJCOM, or above) experience as an administrative assistant or other relevant administrative support role with demonstrated ability to perform at as a senior level administrative expert 4 Years
4.7.1 (b) Experience reviewing Officer Performance Reports (OPR), Enlisted Performance Reports (EPR), and military and civilian awards and decorations 8 Years
4.7.1 (c) Information management experience in military and civilian personnel functions and records management to include Records Information Management System (RIMS), MyPers, or equivalent systems 5 Years
4.7.1 (d) Experience using AF eforms, SharePoint, and MS Office suite of applications 8 Years
4.7.1 (e) Information management experience in military and civilian personnel functions and records management to include Records Information Management System (RIMS), MyPers, or equivalent systems 5 Years
4.7.1 (f) Experience working in a Headquarters Staff (NAF, MAJCOM, or above) environment producing decision documents, presenting briefings, building staff packages, coordinating with other staff personnel, working with other major command elements, and interfacing with USAF staffs 6 Years
4.7.1 (g) Experience with Microsoft Office Suite (Word, Excel, Access, PowerPoint, and Outlook) Microsoft Teams, and Adobe Acrobat software 4 Years
