Position Overview:
The Administrative Specialist will support the various Divisions, Branches, and Sections within AFWERX. The role involves providing administrative support in the execution of operations functions and facilitating smooth communication both internally and externally. This position requires strong organizational skills and the ability to manage multiple tasks while maintaining high standards of service and efficiency.
Key Responsibilities:
• Division/Branch/Section Support:
◦ Support day-to-day operations by coordinating, communicating, and interacting with internal and external organizations.
◦ Assist in developing, processing, and coordinating various reports, written communications, and packages for review and finalization.
• Survey Administration & Digital Enablement:
◦ Assist in the digital enablement of survey administration, ensuring smooth collection and analysis of survey data.
• Calendar & Schedule Management:
◦ Assist with the development, maintenance, and modification of calendars and schedules for Division/Branch/Section leadership.
◦ Ensure all scheduling details are accurately managed to optimize efficiency.
• Electronic Records Management:
◦ Support the organization’s Electronic Records Management activities, ensuring records are properly stored and easily accessible.
• Meeting Coordination & Execution:
◦ Support, plan, coordinate, and execute organizational meetings, including room reservations, seating arrangements, and logistical needs.
◦ Ensure that meetings run smoothly and any required materials or equipment are available.
• Tasking & Suspense Management:
◦ Support the assignment, tracking, monitoring, reporting, and completion of assigned tasks and suspense.
◦ Ensure that all deadlines are met and work is completed according to specifications.
• Travel Management Support:
◦ Assist in all aspects of travel management, including travel planning, reservations, itineraries, and expense reporting.
Qualifications & Skills Required:
• Education & Experience:
◦ High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
◦ At least 2-3 years of experience in an administrative support role.
• Administrative & Organizational Skills:
◦ Strong organizational skills with the ability to manage multiple priorities.
◦ Experience with coordinating meetings, managing calendars, and handling administrative tasks.
• Technical Proficiency:
◦ Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital tools for survey administration and records management.
◦ Experience with electronic records management systems preferred.
• Communication & Coordination:
◦ Excellent written and verbal communication skills with the ability to interact with diverse stakeholders.
◦ Strong interpersonal skills, with the ability to collaborate effectively with team members and external parties.
• Attention to Detail & Time Management:
◦ Strong attention to detail, ensuring accuracy in all tasks and communications.
◦ Ability to manage time effectively and prioritize tasks to meet deadlines.
Soft Skills & Work Environment:

Travel Requirements:
