Position Overview:
The Communications Integration Lead serves as the primary bridge between the events team and strategic communications specialists, ensuring that both teams work collaboratively toward AFWERX’s overarching goals. This role focuses on aligning strategic planning and program execution with the tactical execution of events, ensuring that messaging, branding, and milestones are effectively integrated.
This position requires strong leadership, coordination, and problem-solving skills to optimize workflows and communication across teams. The ideal candidate has extensive experience in event management, program coordination, and strategic communications, with a deep understanding of stakeholder collaboration and cross-functional integration.
Key Responsibilities:
• Cross-Team Coordination: Facilitate open and continuous communication between the events team and strategic communications specialists to ensure smooth information flow.
• Meeting Leadership: Lead regular coordination meetings to track progress, discuss challenges, and ensure alignment between both teams.
• Strategic & Tactical Integration:
◦ Ensure event messaging and execution align with strategic communications goals and broader AFWERX objectives.
◦ Incorporate program milestones and key deliverables into event timelines to ensure events support larger initiatives.
◦ Maintain consistency in branding, messaging, and strategic priorities across all events.
• Timeline & Deadline Management:
◦ Coordinate event planning with critical program dates, such as product launches or major announcements.
◦ Monitor progress to ensure timely completion of tasks and adjust plans as necessary to mitigate risks or delays.
• Risk Management: Identify and resolve potential scheduling conflicts, resource constraints, and communication gaps between teams.
• Post-Event Analysis:
◦ Collect feedback and performance data from events to evaluate their effectiveness in achieving program goals.
◦ Provide insights to strategic communications specialists to refine future strategies and initiatives.
• Stakeholder Communication:
◦ Keep senior leaders, internal teams, and external stakeholders informed of event progress and alignment with program goals.
◦ Ensure transparency in reporting key developments and challenges.
Qualifications & Skills Required:
• Education:
◦ Bachelor's degree in event management, business administration, project management, marketing, communications, or a related field.
◦ Preferred: Master’s degree in business administration (MBA), organizational management, strategic management, or advanced event management.
• Experience:
◦ 8+ years of experience in event management, program management, or integration roles.
◦ Proven ability to lead and coordinate cross-functional teams in complex, multi-phase initiatives.
◦ Strong background in large-scale event execution, including conferences, trade shows, and corporate events.
◦ Experience in program or project management, with a track record of delivering strategic initiatives on time.
• Skills & Competencies:
◦ Exceptional communication and facilitation skills, with the ability to align diverse teams.
◦ Strong problem-solving and conflict resolution skills to manage competing priorities.
◦ Deep understanding of event planning lifecycles, including pre-event logistics, execution, and post-event analysis.
◦ Ability to work under pressure, manage multiple priorities, and adapt to changing demands.
◦ High attention to detail with strong organizational and time-management skills.
• Work Environment:
◦ Remote Position: Must be able to operate effectively in a highly dispersed remote environment.
◦ Travel: Required based on program and event support needs.
Other Essential Functions:
• Must ensure all event coordination efforts align with operational security (OPSEC) requirements.
• Must be a self-starter, capable of working independently while ensuring team alignment.
• Must demonstrate a strategic mindset with the ability to translate big-picture objectives into tactical execution plans.
