Position Description:
As the Communications Workflow Manager & Scrum Master at AFWERX, you will oversee the coordination, prioritization, and execution of all communications products across the Strategic Communications team. You will ensure seamless daily operations by triaging incoming requests, managing workflow processes, and facilitating cross-team collaboration.
In your Scrum Master capacity, you will drive agile project management methodologies, facilitate sprint planning, retrospectives, and ensure continuous improvement in the delivery of communication strategies. The ideal candidate will be a highly organized project manager with expertise in team coordination, workflow optimization, and iterative process improvement.
Duties:
• Workflow Coordination & Task Management: Oversee day-to-day task flow across communications strategists, multimedia specialists, event coordinators, digital marketing experts, data analysts, and leadership.
• Process Optimization: Identify workflow inefficiencies and implement solutions to improve efficiency and timeliness.
• Resource Allocation: Assign personnel and resources effectively to support high-priority strategic communication initiatives.
• Task Prioritization: Assess urgency and importance of requests to ensure alignment with AFWERX strategic goals.
• Project Tracking: Maintain a project management system to monitor deadlines, deliverables, and workflow efficiency.
• Agile Facilitation: Lead Scrum meetings, including sprint planning, reviews, and retrospectives to drive continuous improvement.
• Cross-Team Collaboration: Ensure alignment across internal teams and external stakeholders for streamlined communication execution.
• Risk Management: Identify workflow bottlenecks and proactively develop mitigation strategies.
• Performance Analysis: Track team productivity and evaluate delivery metrics to drive iterative enhancements in workflow execution.
• Calendar & Email Management: Maintain integrated project calendars and manage organizational email accounts to facilitate communication requests.
• Training & Support: Provide guidance to team members on agile best practices, workflow standards, and efficiency improvements.
• Adaptability & Process Refinement: Regularly refine workflow strategies to align with evolving organizational priorities.
Required Skills & Qualifications:
• Experience: Minimum 5+ years in project management, workflow coordination, or a similar role in communications, marketing, or a related field.
• Certification: Certified Scrum Master (CSM) or equivalent preferred.
• Agile Project Management: Proven expertise in agile methodologies, task management tools, and workflow optimization.
• Strong Analytical Skills: Ability to assess project efficiency, identify bottlenecks, and implement effective solutions.
• Leadership & Facilitation: Demonstrated ability to lead cross-functional teams, run productive meetings, and drive consensus.
• Communication & Collaboration: Excellent verbal and written communication skills with the ability to coordinate across diverse stakeholders.
• Organizational & Time Management: Exceptional ability to manage multiple priorities under tight deadlines in a fast-paced environment.
• Tech Proficiency: Experience with project management tools (e.g., Jira, Trello, Asana) and digital collaboration platforms (e.g., Google Workspace, Slack, Microsoft Teams).
• Autonomous Workstyle: Ability to work independently in a dispersed, remote environment.
Work Environment & Conditions:
• Remote Position: Fully remote role with a requirement for a professional home workspace.
• Standard Work Hours: Monday–Friday business hours, with flexibility based on mission needs.
• Travel: Occasional travel required to support AFWERX initiatives.
Other Essential Functions:
• Must ensure all workflow processes align with security policies and operational security (OPSEC) requirements.
• Must have a proactive approach to problem-solving and continuous process improvement.
• Must be able to manage competing priorities while maintaining high-quality output.
