Position Overview:
The Event Specialist supports the Lead Event Specialist in planning, coordinating, and executing high-profile events, conferences, and functions that advance the AFWERX mission to accelerate technology transitions. This role requires strong attention to detail, effective communication, and technical proficiency to manage logistics, stakeholder coordination, and digital event tools. The Event Specialist will play a critical role in ensuring seamless execution of in-person and virtual events, from initial planning through post-event evaluation.
Key Responsibilities:
• Event Planning & Execution:
◦ Assist in planning high-quality engagements with industry, government, and academic stakeholders.
◦ Coordinate event logistics, including venue selection, equipment rentals, transportation, catering, accommodations, and audiovisual requirements within budget constraints.
◦ Develop and maintain detailed event timelines and schedules, ensuring deadlines and responsibilities are met.
◦ Research, compile, propose, and update event schedules for current and future years within government databases.
◦ Ensure adherence to military protocol, traditions, and etiquette during official ceremonies and events.
• Logistics & Vendor Coordination:
◦ Assist in managing vendors and suppliers, securing services, and overseeing contract fulfillment.
◦ Ensure all event services and materials are delivered on time and meet required specifications.
• Stakeholder & Communication Support:
◦ Collaborate with AFWERX leadership, event POCs, and Strategic Communications teams to promote events and engage stakeholders.
◦ Facilitate pre-event preparation meetings, protocol support, and event briefings.
◦ Participate in discussions and meetings to provide strategic insights and logistical recommendations.
• Risk Management & Contingency Planning:
◦ Identify potential risks, scheduling conflicts, or hazards and develop contingency plans to ensure smooth event execution.
◦ Implement safety measures to ensure the well-being of all participants.
• Post-Event Analysis & Reporting:
◦ Conduct post-event evaluations, collect participant feedback, analyze event metrics, and suggest improvements for future engagements.
◦ Provide data-driven insights to refine event planning strategies.
Qualifications & Skills Required:
• Education & Experience:
◦ Bachelor’s degree in Event Management, Hospitality, Communications, or a related field (preferred).
◦ OR 5+ years of experience planning and executing large-scale events (300+ attendees) such as conferences, conventions, symposiums, and training sessions.
• Event & Logistics Management:
◦ Strong organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
◦ Proficiency in Microsoft Office Suite, Google Workspace, and event management software.
◦ Experience with digital communication and virtual event platforms is a plus.
◦ Familiarity with military customs, traditions, and protocol (preferred).

◦ Strong problem-solving abilities, critical thinking, and decision-making skills.
◦ Ability to work in a fast-paced environment, adapt to changing priorities, and meet tight deadlines.
◦ Self-starter mentality with the ability to work autonomously in a highly dispersed remote organization.
• Travel Requirements:
◦ Travel is required and expected based on event support needs.
◦ Flexibility to work irregular hours, including evenings and weekends, as needed.
◦ Other duties may be assigned as needed within the scope of event management.
