Position Overview:
The Lead Events Specialist is responsible for the strategic planning, coordination, and execution of high-profile events that support AFWERX’s mission to accelerate technology transitions. This role requires a highly organized and dynamic leader who can manage multiple complex events, coordinate with internal and external stakeholders, and ensure smooth event execution in a fast-paced, high-pressure environment.
The ideal candidate is an experienced event planner with strong leadership, logistics, and communication skills, capable of handling large-scale in-person and virtual engagements while maintaining alignment with AFWERX’s branding and communication strategies.
Key Responsibilities:
• Event Planning & Strategy:
◦ Plan and execute high-quality, high-profile events with industry, government, and academia stakeholders from initial concept to post-event evaluation.
◦ Develop detailed event timelines and schedules, ensuring all tasks, deadlines, and responsibilities are effectively managed.
◦ Ensure all event branding and messaging align with AFWERX/SpaceWERX identity, communication strategies, and branding guidelines.
◦ Conduct post-event evaluations to measure success, gather participant feedback, and identify areas for improvement.
• Logistics & Coordination:
◦ Manage all logistical aspects, including venue selection, equipment rentals, transportation, accommodations, catering, and audiovisual requirements.
◦ Oversee on-site event operations, managing event flow and staff to ensure smooth execution.
◦ Research, compile, propose, and update event schedules for current and future years within government databases.
◦ Identify potential risks and hazards, implement contingency plans, and coordinate safety measures with safety officers.
• Stakeholder & Vendor Management:
◦ Coordinate with vendors and suppliers to secure services, oversee deliveries, and ensure all event needs are met.
◦ Collaborate with AFWERX leadership, event POCs, and Strategic Communications teams to promote events and engage stakeholders through multiple communication channels.
◦ Maintain adherence to military protocols, traditions, and etiquette during official ceremonies and high-level engagements.
• Budget & Resource Management:
◦ Develop and manage event budgets, tracking costs and ensuring expenditures remain within government-approved limits.
◦ Optimize resources and negotiate contracts to maximize event impact within budget constraints.
Qualifications & Skills Required:
• Education:
◦ Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Business Administration, or a related field.
◦ Preferred: Certified Meeting Professional (CMP) or other relevant industry certifications.
• Experience:
◦ 8+ years of experience in event planning or coordination, with at least 2-3 years in a leadership role.
◦ Proven experience managing complex events, including conferences, trade shows, corporate events, and government engagements.
◦ Experience with virtual and hybrid event execution is a plus.
◦ Familiarity with government, Department of Defense (DoD), Air Force, or large-scale corporate events is strongly preferred.
• Technical & Soft Skills:
◦ Strong leadership and interpersonal skills, capable of managing teams and cross-functional collaboration.
◦ Ability to manage multiple events simultaneously, prioritize tasks, and meet strict deadlines.
◦ Budget management and cost optimization expertise.
◦ Excellent verbal and written communication skills, with a keen eye for detail. AP style writing experience preferred.
◦ Proficiency in event management software, Microsoft Office Suite, and project management tools.
◦ Knowledge of virtual event platforms (e.g., Zoom, Microsoft Teams, WebEx, or similar technologies).
• Work Environment & Travel:
◦ Ability to work autonomously in a highly dispersed remote team.
◦ Travel is required and expected based on event support needs.
◦ Other duties may be assigned as needed within the scope of event management.
