Onboarding Analyst (Business and Operations Specialist - Senior)
Location: NCR (Hybrid Onsite/Telework)
Clearance: TS/SCI
Education: MA/MS (or an BA/BS and an additional 4 years of related work experience)
Outcomes:
The successful candidate is expected to accomplish the following outcomes during the first year in the position:
Formally track all tasks, to include: assigned by, suspense, status, and comments on all assigned tasks through completion and be prepared to brief upon request.
Develop digital continuity folders and files that include standard operating procedures, workflows and POC lists to accomplish all tasks.
Create 2-3 products beyond the client’s requirements that positively impact the client to either increase efficiency, effectiveness, or innovation.
Master position tasks within 60 days and exceed requirements within 90 days.
Responsibilities:
The Onboarding Analyst supports all aspects of the CDMX onboarding and offboarding processes to efficiently bring on and transition out personnel. Reviews and provides quality control and accurate processing of onboarding paperwork and business processes (IT requests, SCI Nomination, and Badging requests) by working closely and coordinating with multiple stakeholders (CDMX IT, CDM + CDMX Security, Supervisors, CORs, etc.) to ensure all necessary access, accounts, and physical equipment are provisioned in a timely fashion and recorded properly. This will include proper handling of PII through encrypted emails and DoD SAFE. Manages, updates, and works seamlessly in several databases and systems (CDM Enterprise Resource Management System [CERMS], ServiceNow [SNOW], Shared Drives, O365 applications – SharePoint Online [SPO], Excel, and Outlook [Shared Mailboxes] supporting PWS tasks in section 1.3.10.3. Specific responsibilities include but are not limited to:
Ensure certification and completion of timecards.
Conduct review of DTS travel requests for compliance, completeness, and timeliness.
Analyze annual congressional authorizations and appropriations and determine potential strategic impacts to planned and ongoing CDM activities.
Manage CDM in- and out-processing to ensure in-processing and out-processing checklists are current, available, and coordinated on a recurring basis with CDM mission essential functional areas.
Serve as the CDM focal point for proper in/out-processing completion.
Coordinate, monitor, and track optional and mandatory personnel education, training, and certification programs.
Review and process SF182 Forms to track CDM individual’s training requirements.
Track, monitor, administer, and report mandatory organizational training for all CDM personnel.
Coordinate education tuition assistance with CDM Human Capital.
Maintain appointment orders and roster of Unit Safety Representatives for CDM.
Serve as CDM’s focal point for all strategy and engagement conference hosting coordination.
Draft and maintain CDM-ADMIN internal SOPs and processes.
Maintain CDM-ADMIN content on DoD/Air Force and/or CDM knowledge management sites.
Assist and support the Drug Demand Reduction Program and notification of monthly testing of selected CDM employees.
Initiate, monitor, and coordinate completion of ADMIN branch tasks through CDM’s task management tools.
Ensure administrative support (in the above areas) to geographically separated personnel, as directed or required.
Research policies, regulations, and procedures to formulate, coordinate, and implement organizational Operating Instructions and processes, i.e. (not limited to), CDM ETMS2, internal and external tasker system.
Qualifications:
The candidate must have the following qualifications:
Minimum of ten (10) years of related work experience,
Minimum of six (6) years of specific work related experience in support of a DOD component.
Experience in developing and managing formal task management processes and toolsets.
Professional level knowledge of customer care processes.
Knowledge of or ability to acquire knowledge of DTS and various software systems.
Ability to work independently and as a member of a team.
The following qualifications are desired:
Experience supporting the SAF/CDMX mission and an understanding of SAF/CDMX institutional processes.
Experience as an administrative officer/office manager and total business process within a military organization, preferably within a headquarters staff.
Knowledge of Air Force protocol for development of invitations and formal correspondence.
Knowledge or familiarity with Personnel Security requirements and protocols.
Travel: May be expected to travel between local sites on occasion, very infrequent.
