HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
- As member of the Sponsor Mission Center Principal Support (PS) team, the Administrative Assistant provides support services in a variety of support functions to include office administration, office management, back-up to principal support officers, event planning, logistics, COOP planning and information management
- The Administrative Assistant should have experience with Sponsor Messaging Services, Sponsor operation records tool, Sponsor Access Tracking System, Sponsor Travel Request, Sponsor Voucher requests, sponsor timekeeping, and all other systems notated in the Systems & Tools section of this job description
- Based on assignment description of day-to-day duties and overall responsibilities may include, not limited to: scheduling, managing, and disseminating manager and office personnel calendar; monitoring e-mail and other types of correspondence for action items; and drafting and preparing non-routine letters, memos, documents, and various reports
- Schedule and attend meetings as may be appropriate - take minutes and/or share action items and other pertinent information
- Manage the office workflow recognizing the need to continuously adapt the schedule
- Maintain office phone lists and emergency call roster
- Review, edit, and finalize Agency correspondence, memorandum, ensuring documents are properly formatted and are grammatically correct
- Prepare Power Point presentations as needed, plan, organize, and coordinate office events (e.g., off-sites, conferences, ceremonies), as needed
- Manage the schedule and security requests for internal/external speakers, visitors and security clearances, provide back-up support to the Executive Officer and other Mission Center Enterprise Services Specialists as appropriate
- Coordination requirements as required
- Develop and maintain accurate records and a file management system, to include archiving files and official correspondence as necessary
- Maintain an efficient office environment to include oversight of supply ordering, arranging the repair of office equipment, and possibly initiating the installation of new software, prepare travel requests and accounting's, evaluate, propose, and/or implement innovative and/or new administrative processes to improve the efficiency and effectiveness of support administration, network and mentor with other Enterprise Services Specialists
- Prepare, format, edit, and proofread documents for circulation, serve as communications officer
- Maintain a website, work with data owners and subject matter experts to deliver a service based platform that streamlines services
- Compose, deliver, and write moderately complex text for memorandum and communications, serve as T&A Recorder/Administrator and utilize a working knowledge of leave regulations and payroll policies
- Work with mission center leadership on special projects; examples include assisting with management of the mission center's COOP planning program and planning for large mission center and inter-sponsor events
- The AA will coordinate with the center's front office staff AA's on tracking tasks and action items
- This includes overseeing (monitor and track) and coordinating responses by the Sponsor to a wide range of intra-Mission Center (including "the field") and cross-Directorate (and cross-Center) taskings some possibly being memos for Senior Sponsor Management, Congressional Notifications, etc
- The AA will review outgoing documents for spelling, grammar, and style, but must defer to staff AAs for final review
WHAT YOU'LL NEED TO SUCCEED:
- The position requires an active Top Secret/SCI with Polygraph security clearance
- The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience
- Office hours are from 9am-5pm and a sliding schedule will be needed in order to ensure coverage
- Our schoolhouse is open on weekends and holidays; we don't require contractors to be in on holidays but we do authorize the overtime if they have a class running that they are supporting that will need their support during that time.
- Candidate must be able to operate in a team environment as well as successfully work on their own
- This position is on customer site
