CTEC is seeking a Journeyman Administrative Assistant to join our team onsite with the client in Hanover, MD.
Duties and Responsibilities:
• Administrative Support
o establish and manage the Personnel Security (PS) Directorate / Adjudication and Vetting Services (AVS) databases and spreadsheets, managing access control to include verifying clearance information, performing record and file management and maintenance, providing support to PS / AVS Senior Leadership, tracking internal and external actions, as well as serving as Point of Contact (POC) for space / conference room reservation requests.
• Communication Support
o provide analysis, identify actionable recommendations, and produce written artifacts and visualization representations for client’s leadership program priorities and initiatives.
o provide and/or distribute accurate and professional written or verbal responses to internal and external stakeholders’ requests for and dissemination of information.
o submit draft versions to the government for review and concurrence, making any requested edits or refinement timely before finalizing the product(s).
o facilitate a variety of knowledge sharing sessions with leadership and key stakeholders to identify, document, and map current challenges to construct and convey a high-level vision to complex initiatives. The candidate will document possible risks and redundant (duplicate) processes identified during discovery, interviews, and mapping of various process gaps. The candidate shall show the data in a cohesive and easily comprehendible visual using relevant concepts and principles. The knowledge sharing sessions shall result in an assessment of the communication across the agency to determine accuracy and consistency.
• Writing, Editing, and Documenting
o provide writing, editing, and documentation services
o responsible for explaining ideas using simple (easy to understand) language suitable for client’s various internal and external stakeholders.
o meet with various stakeholders and customer representatives, vendors, executives, and other parties internal or external to the organization to establish the information needed for supporting required task.
o ensure all work products contain accurate information to convey an easily understood message.
o establish, and maintain, a document repository
• Artifact Generation
o The government may require the candidate to produce artifacts including but not limited to:
Announcements, brochures, advertisements, marketing material
Policies, processes, procedures
“How To” guides and instruction manuals
Charts, graphs, figures, and forms Articles and reports on trends
Copy edits as necessary for proofreading for grammar and spelling
Skills & Work Experience:
• Must have experience with the following software systems and tools:
o Microsoft Office Products, including but not limited to, Outlook, Teams, Word, Excel, Project, Access, etc. or the applicable software of record for the agency.
o Adobe Suite, including but not limited to, Acrobat Design, Adobe, Photoshop, Adobe Illustrator, Adobe Acrobat, Adobe PageMaker, Adobe Premier, etc. or the applicable software of record for the agency.
o SharePoint, Service Now and/or other task management systems.
o Other designated software required to successfully perform the duties
• Superior oral and written communication skills, as well as a good command of the English language.
Required Education and Experience:
• High School Diploma or Equivalent with Two years of relevant administrative and technical support experience.
Preferred:
• Department of Defense, particularly Defense Counterintelligence and Security Agency, administrative experience.
Clearance:
• Active Top Secret Clearance (TS/SCI) Required for this position.
