Tuknik Government Services currently has an opening for a Senior Executive Assistant (EA). This position will be in Arlington, VA and will support TGS and our government customer. This opportunity offers the chance to work with some of the best and brightest minds in the Department of Defense and US Industry to develop, implement, and transition Artificial Intelligence (AI) capability across the Department.

Tuknik Government Services currently has an opening for an Executive Assistant (EA) to provide executive level support for Department of Defense Office of the Chief Digital and Artificial Intelligence Officer (CDAO). Under the direction of the government, the Executive Assistant will provide administrative support to executive-level, management, and key technical personnel across the Principal Deputy Director's Office (DCDAO). This will include primarily clerical functions: keeping calendars, arranging travel, keeping the executive on time, arranging meetings, ensuring read-ahead material is available, etc. The candidate will be the Executive Assistant for a Principal Deputy at the Chief Digital and Artificial Intelligence Office (DCDAO) located in the Pentagon.

Responsibilities:
  • Provide comprehensive support services for daily operations in areas of normal administrative service functions to include action suspense tracking, workload prioritization, calendar maintenance, communications, correspondence and distribution services, reporting, procurement of administrative supplies, property administration, security management, Senior Executive travel and transportation, directives, and training.
  • Performs clerical functions such as preparation of correspondence and reports, coordinating responses to information requests, scheduling conference calls (unclassified, secret, and TS), arranging and coordinating travel, calendar management, facilities management, and monitoring physical security.
  • Manages visitor access and security requirements and coordinates with the appropriate agency as required (e.g. Pentagon Force Protection Agency, CDAO Security Office, and external Security Offices as needed).
  • Prepares and manages travel authorizations/vouchers via the Defense Travel System for executive level travel within and outside the continental United States. Manages international travel as determined by the Foreign Clearance Guide and coordinates with United States Defense Attaché Offices as needed.
  • Coordinates/communicates behalf of the organization's leadership, including calls, responding to email, and interfacing, with stakeholders or their staff at all levels to include the highest levels of the Department of Defense.
  • Responsible for managing the quality of correspondence provided to the Government Senior Executive Leadership's review.
  • Coordinates with Directorate Executive Assistants to sync calendars of senior executives across the CDAO.
  • Prepares and maintains the daily reading book for the senior executive; ensures Read ahead (RAH) material is provided in a timely manner and in the proper format.
  • Manage the calendars of senior management program officials and keep senior management and staff members informed of relevant organizational events.
  • Coordinate local and long-distance travel for senior management program officials and prepare travel vouchers for signature via the Defense Travel System (DTS) application.
  • Assist in preparing invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Assist in preparing interagency meetings or conferences and setting up teleconferences and videoconferences.
  • Compose and prepare letters relating to routine correspondence for senior management signature.
  • Review and edit copies of formal executive-level correspondence, correspondence summaries, briefings, reports and a wide variety of other analytical, process flow, financial spreadsheets, narratives, and tabular and statistical documents.
  • Perform writing, editorial and layout services, graphic design, high-resolution scanning, and all other steps necessary to provide digital output for brochures or other publications.
  • Establish and maintain office files and databases, including electronic data files architecture consistent with Federal and DOD records management standard file storage/structure methodologies.
  • Serve as a liaison between senior management, CDAO staff, and external agencies for all administrative support.
  • Receive and screen phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Assist supported senior management in the development of presentations and white papers for internal and external audiences ensure proper formatting and grammatical correctness.
  • Determine priority of matters of attention for senior management and assist in addressing or redirect matters to staff to handle, as appropriate.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
  • Maintain confidential and sensitive and classified information.
  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.

Requirements:
  • Current/Active Top Secret security clearance with active SCI eligibility is a requirement to apply for this position.
  • 10+ years of relevant experience to include a minimum of 3 years of experience directly supporting a C Suite Senior Executive/CEO; and 5-years of office administration.
  • Experience supporting a SES/General Officer/Flag Officer within the OSD.
  • Demonstrate excellent communication skills, a high level of integrity, critical thinking, and leadership courage.
  • Experience preparing staff packages for the official DoD staffing and coordination process.
  • Ability to use CATMS or similar action tracking software to manage, update, and track senior leaders actions.
  • Experience using and expertise with the Defense Travel System.
  • Experience using the Aircraft and Personnel Automated Clearance System to schedule/manage international travel.
  • Must be a self-starter that can recognize needs and act with little to no guidance.
  • Able to rapidly understand and apply new concepts.
  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities.
  • Advanced MS Word skills; proficient PowerPoint, Excel, Outlook, MS Teams application skills. Expert with Calendar Management.
  • Experience with Federal and DoD Records Management requirements for senior executives

Education:
  • Bachelor's Degree required

Security Pre-Requisite:
  • To be considered, must have a CURRENT/ACTIVE TOP SECRET security clearance with SCI eligibility.
