Essential Functions, Responsibilities & Duties may include, but are not limited to:
The Administrative Assistant Level III will be responsible for the following tasks:
- Manage extremely active calendars, scheduling meetings, events, video/teleconferences, and travel arrangements for multiple executives with a high degree of accuracy and efficiency.
- Prepare complex documents such as reports, presentations, agendas, memos, and proposals, ensuring a high degree of accuracy and professionalism.
- Maintain comprehensive electronic and paper filing systems to ensure proper organization of confidential records and documents.
- Order and maintain office supplies inventory, process invoices, and monitor budgets.
- Coordinate logistics for meetings, events, and conferences, including venue arrangements, catering, and audio-visual needs.
- Serve as a gatekeeper, managing incoming calls, correspondence, and visitor requests with professionalism and discretion.
- Enter and maintain data in corporate databases and client management systems, ensuring accuracy and completeness.
- Make complex travel arrangements, prepare expense reports, and create detailed itineraries for executives and staff.
- Provide administrative training and oversight to lower-level administrative staff, fostering professional development and ensuring consistent standards.
- Lead and participate in special projects related to operations, process improvements, and organizational changes, contributing valuable insights and recommendations.
- Perform other high-level administrative duties and special assignments as requested by executives and managers.

Requirements
Education:
- Associate's degree from an accredited institution.
Work Experience, Knowledge, Skills & Abilities:
- For a position in the U.S., must be a U.S. Citizen or legal U.S. resident; for a position outside the U.S., any citizenship (U.S., Third Country National (TCN), and Local National (LN)) is allowable.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- A minimum of eight (08) years of experience in a relevant field, with a proven track record of providing advanced administrative support to executives and managers.
- Extensive knowledge of and demonstrated experience using Microsoft Office Suite and other office equipment.
- Knowledge of and skill in the correct usage of English grammar, spelling, punctuation, capitalization, and style.
- Demonstrated experience in using the telephone and voicemail systems.
- Strong project management, problem-solving, and multi-tasking abilities.
- Exceptional written, verbal, and presentation communication skills.
- Demonstrated organizational skills and outstanding attention to detail.
- Professional demeanor with the ability to handle confidential matters with discretion.
- Demonstrated experience in using the telephone and voicemail systems.
Desired Skills and Competencies:
- Experience coordinating executive-level board meetings and events
- Knowledge of customer/client management databases and software
- Basic accounting, budgeting and financial reporting skills
- Experience developing and improving administrative processes
- Self-motivated with ability to work independently with minimum supervision
