Overview

Nakupuna Consulting is looking for a Training Coordinator to join our team of talented consultants providing professional services to a DoD client .

Responsibilities

  • Manage daily office activities and maintain a professional work environment by knowing and following General and F lag Officer s (GO / FO s ) and Senior Executive Service (SES) protocols.
  • Integrate support activities to ensure leadership is prepared for meetings and engagements on a routine basis and in a timely manner .
  • Create detailed training schedules, including timelines for course offerings, instructor availability, prerequisite completion, and venue arrangements.
  • Deliver training materials, schedule updates, portal content, and venue arrangements within the specified deadlines. Ensure v enue is suitable for the intended training delivery mode and is equipped with necessary technology and resources.
  • Liaise with partners and subject matter experts (SME s ) to collect input, align training content with current standards, and ensure SMEs are available to participate .
  • Administer and update the government's training portal to ensure it is user-friendly and contains current information on courses, prerequisites, instructor information, schedules, prerequisites, and resources.
  • Create and provide m onthly and ad-hoc reports on training effectiveness, portal usage, and instructor feedback.
  • Develop high-quality training materials, including manuals, presentations, and e-learning modules, and manage the delivery of training sessions, both in-person and virtual.
  • Ensure materials follow established digital filing protocols so documents are stored in the correct folders and are easily retrievable. This includes naming conventions, metadata tagging, and document versioning.
  • Plan and schedule meetings, receive visitors, and interact with the public through a customer-service, detail-focused, adaptive, and proactive approach in a fast-paced and publicly visible DoD organization.
  • Independently and proactively transmit information, obtain and assemble data, prepare and review presentations, communicate inside and outside of the directorate, and deconflict calendar and event scheduling.
  • Author, review, and edit drafts of notes, internal memoranda, and official correspondence. Track and maintain visibility on taskers and open actions based on inputs and guidance from senior staff in the office.


Qualifications

Education and Qualifications :

  • This position requires a B.A./B.S. Degree and seven (7) years of executive assistan t experience supporting senior level defense officials.


Skills/Qualifications:
  • Experience supporting a Training Plan within the Department of Defense.
  • Proficient mid-level skills in Microsoft Office products (Word, Excel, Outlook, and PowerPoint), Adobe, and use of office equipment is required .
  • Excellent oral and written communication skills geared towards executives.
  • Demonstrated ability to write clear, concise, and articulate correspondence with a focus on quality control and attention to detail.
  • Strong interpersonal and customer service skills that foster teamwork and create positive relationships with staff and principals.
  • Working knowledge of coordination requirements for the successful preparation and approval of reports, briefings, memoranda, and presentations.
  • Ability to prioritize, multi-task, plan, problem solve, and adapt in a fast-paced and strategic environment under minimal supervision.
  • Familiarity with DoD 5110.4-M, "Manual for Written Material" is desired.


Clearance: This position requires an active TS/SCI eligible security clearance. Must be a U.S. citizen.

Work hours are in-person at the Pentagon , Monday through Friday , except for holidays or when the Government facility is closed.

Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation :
  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.
