We are seeking a highly organized and detail-oriented individual to manage communication and coordination efforts specifically for our Federal program. The Communications Specialist will work closely with internal teams to facilitate effective communication and scheduling of key program-related events. This role involves managing multiple communication channels and supporting the smooth execution of program meetings, feedback sessions, and training initiatives within the program.

Key Responsibilities:

  • Coordinate the creation and distribution of the Monthly Pulse Newsletter for the program, ensuring timely and accurate updates.
  • Prepare and distribute the Monthly Newsletter that highlights key program updates, milestones, and achievements.
  • Assist with internal Announcements to ensure timely dissemination of important program-related information.
  • Prepare and distribute the Weekly Things to Know communications to keep the program team informed on relevant updates and tasks.
  • Coordinate the Bi-weekly Training Announcements to ensure training opportunities within the program are clearly communicated.
  • Assist with the creation and distribution of Release Notes for program-related system updates or changes.
  • Respond to program-related communications inquiries in a timely and effective manner.
  • Identify and engage relevant Stakeholders to ensure effective communication and collaboration throughout the program.
Scheduling and Facilitating Program and Feedback Sessions:

  • Schedule and facilitate regular Program Meetings to ensure smooth communication and coordination across program teams and stakeholders.
  • Organize and facilitate Townhalls for program-wide updates and engagement, ensuring alignment with program goals.
  • Coordinate and manage Office Hours to provide team members with opportunities to ask questions and get assistance related to the program.
  • Organize and facilitate Monthly External Feedback Sessions with external stakeholders to gather input and insights specific to the program.
  • Schedule and organize Weekly Internal Feedback Sessions (O&M) to ensure continuous internal feedback and improvements within the program.
  • Assist with coordinating and scheduling CALM Training Sessions tailored to the program's needs and objectives.
  • Support ART/PO Syncs to ensure alignment between the Agile Release Trains and Product Owners within the program.
  • Assist with PI Planning efforts, ensuring communication and stakeholder involvement within the context of the program.
  • Coordinate and facilitate Sprint System Demos to showcase program progress and outcomes to relevant stakeholders.
  • Help organize Inspect & Adapt Demos to evaluate and adjust program outputs as needed, ensuring alignment with program objectives.
  • Ensure effective coordination of Syncs for consistent collaboration and progress across program teams.
Position Requirements

  • Strong communication and interpersonal skills.
  • Proven experience in scheduling and facilitating program meetings, feedback sessions, and training events.
  • Highly organized with the ability to manage multiple program priorities and deadlines.
  • Experience with communications tools, newsletters, and creating content for program-specific channels.
  • Ability to engage and collaborate with internal and external program stakeholders.
  • Knowledge of Agile methodologies, including PI Planning, ART/PO Syncs, and Sprint System Demos, is a plus.
  • Proficiency with collaboration and scheduling software (e.g., Outlook, Zoom, Microsoft Teams).
Education and Experience:

  • Bachelor's degree in Communications, Business, or a related field.
  • 5+ years of experience in a communications or program coordination role within a specific program or organizational setting.
  • Experience in facilitating virtual and in-person program meetings and training sessions.
