Executive Assistant to the CEO

Location: Boerne, TX (HYBRID - Hwy 46 W & Diamond Ridge area)
Location Requirements: Must be within 35 minutes of on-site location.
US Citizenship Required: Yes
Position Type: Full-time, Exempt (Approximately 40 hours/week)
Schedule: Typically Monday-Friday, 09:30 AM - 6:30 PM, weekends as needed

About the Role: We are looking for a highly skilled and proactive Executive Assistant to support the CEO. This role requires someone who thrives in a fast-paced environment, is an excellent communicator, and has a proven ability to make things happen. You will play a vital role in ensuring the CEO can focus on strategic initiatives by handling critical administrative and operational responsibilities.

Key Responsibilities:
  • Calendar management: Scheduling meetings, appointments, and managing the executive's daily calendar to avoid conflicts.
  • Travel arrangements: Booking flights, hotels, and transportation for business trips, creating detailed itineraries.
  • Communication management: Answering phone calls, screening emails, and forwarding relevant information.
  • Meeting coordination: Preparing meeting agendas, distributing materials, taking minutes, and following up on action items.
  • Expense reporting: Compiling and submitting expense reports.
  • Document management: Organizing, filing, and retrieving important documents.
  • Executive errands (2-3 days per week): Running executive errands like picking up embroidery items for employees, sending out employee welcome packages, picking up office supplies as needed, and scheduling lunch meetings.
  • Personal errands: Running personal errands like grocery shopping, picking up dry cleaning, making Amazon returns, or making appointments.
  • Event planning: Coordinating personal and corporate events like parties, executive meetings, employee morale events, family gatherings, or special occasions.
  • Confidentiality: Maintaining discretion with sensitive personal information.

  • Basic Qualifications:
  • A bachelor's degree in business administration or communications or a related field is preferred.
  • Minimum of 5 years of experience as an executive assistant, preferably supporting C-level
  • executives.
  • Outstanding organizational and time management skills
  • Ability to manage multiple priorities and work under pressure.
  • Detail-oriented, proactive, and resourceful.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Proficient in Google Workspace (including Google Calendar, Google Shared Drive, etc.)
  • High level of discretion and integrity.
  • Collaborative and approachable demeanor.
  • Self-motivated, creative, willing to work as a member of a team; who can organize and manage individual schedule.

Preferred Qualifications:
  • Experience using UnaNet or another expense management software.
