Onsite Requirements:
* Coordinate with administrative assistants across the Division weekly for travel updates (maintain/update travel calendar)
* Coordinate with lab Security Operations Center (SOC) to support visiting staff badge access

Job Description:
Administrative/Logistics Functions:
* Handle meeting/event logistics.
* Oversee access control and badging of visitors.
* Manage events and post-event clean-up, including food ordering.
* Meet weekly with FMFS leadership to assess event/visitor support needs.
* Develop and maintain an FMFS operator handbook.
* Support the yearly strategy briefing for the division.
* Manage the FMFS side of employee onboarding.
* Cultivate group culture and coordinate/schedule R&R activities twice a year (summer/winter).
* Work independently to gather and organize HR-related materials for the field site (e.g., posters, conference updates).
* Coordinate with HR 1-2 times per year for recruiting events at FMFS.
* Collaborate on co-hosting the CTNS conference.
* Order and manage office supplies.
* Serve as the primary point of contact for building alarms.
* Coordinate weekly with administrative assistants across the division for travel updates and maintain the travel calendar.
Security Functions (Backup Responsibilities):
* Develop and maintain procedures for system-down events.
* Respond to after-hours alarms.
* Manage access controls and badge readers.
* Collaborate with the Lab Security Operations Center (SOC) to support visiting staff badge access.
* Oversee alarm management, including adding and removing users.
Required Skills:
* Ability to set priorities and manage multiple concurrent tasks.
* Effective written and oral communication skills.
* Strong interpersonal skills with the ability to work independently under minimal direction.
* Attention to detail and professionalism in communication with management and external parties.
* High level of discretion in handling sensitive information and escorting visitors.
* Education: Associate's degree (or equivalent experience, minimum of 3 years).
Preferred Skills:
* Proficiency in Excel Suite (Excel, PowerPoint).
* Ability to learn and apply new applications (e.g., Confluence).
Clearance Requirement:
* Ability to obtain interim top-secret clearance before starting the assignment.
