What you'll do:

The Operations Logistic / Finance coordinator serves as a critical link between vendor team leadership and the CE (Critical Environment) team, ensuring seamless coordination of maintenance activities. The Logistic / Finance Coordinator is responsible for operational business of the Critical Environments Team. Those programs include Ordering Material, New Hire Indoctrination, Inventory of tools and critical spares, safety materials Purchase Request/Order Tracking, Invoicing and M&R Budget.

Responsibilities:
  • Catalog, manage, and maintain a supply/tool room utilizing the 5S methodology. That includes all Tools, Test Sets, PPE, Electrical Safety Equipment, Support Equipment, Uniforms and Hazmat.
  • Manage the Calibration program for all Tools & Test Sets using CMMS PM Work Orders.
  • Assist the Safety Coordinator in managing the Electrical Safety Inspection programs for all Electrical Safety Equipment/PPE using CMMS PM Work Orders.
  • Ensure all tools, parts, spares, and equipment loaded and asset tagged in CMMS.
  • Order Critical Spare Parts, Tools, Test Equipment, PPE as well as all consumables required for Data Center operations. Generate MSFT PO and submit in POL.
  • Receive shipments and conduct physical inspection of all items. Receipt in POL.
  • Receive all assets in the inventory module in CMMS and ensure they are physically placed in managed storage.
  • Maintain critical and non-critical spare part stocks in such a way that preventative maintenance schedules will not be delayed.
  • Quarterly physical spot checks and one annual physical inventory will be conducted to verify system inventory matches physical inventory.
  • Manage the MSFT asset tagging program.
  • Manage electronics asset inventory and issuing.
  • Manage the CE Team parts consumption. Tracking monthly spend to meet forecasted budget variance.
  • Tracks KPI's to include order lead time, part costs, % inventory accuracy, audit performed, Number of PMs deferred due to lack of parts, turnover rate, or carrying cost.
  • Procure new account vendors for service and product.
  • Supports requests associated with operations audits.
  • Serve as a backup to the Operation Planner scheduler.
  • Coordinate and manage the Annual M&R budget.
  • Track Purchase Orders status till invoiced.
  • Manage Third Party invoicing.
  • Create Third Part Supplier Task Orders.
  • Assist with business review preparations.
  • Assist with managing the Critical Environments Team's overall financial Programs.
  • Coordinate all business review presentation and reports.
  • Monthly Financial reporting.
  • Analyze and optimize logistical procedures and budget.
  • Review, prepare, and route purchase orders (Logistics).
  • Assist with budgetary requests and effectively support management team.
  • Work with team members to identify and respond to any financial or budget related issues.
  • Helps support facility specific cost savings targets to contribute to the account achieving significant savings.
  • Support requests associated with operations audits.
  • Assists management and staff with operational reporting, budgeting, financial systems, purchasing as necessary.
  • Reviews Invoices, receipts and work orders.
  • Coordinate/support annual operating budgets and re-forecasts.
  • Track monthly operating expenses and track variance.
  • Understand internal finance system (MC Dean = POL).
  • Correspond with team, client, and vendors as required.
  • Helps achieve the Key Performance Indicators.
  • Assist local accounting team with review/approval submission of monthly client billings/invoicing.
  • Assist local accounting team with review/approval of monthly accruals.
  • Monitor accounts receivable (POL) and assist/support site team and accounting team with collection efforts.
  • Collaborate with site team to share and improve spend tracking.
  • Ensure that transactions processed have been routed for appropriate approval prior to processing.
  • Seeks to continuously improve processes, systems and overall client satisfaction.
  • Coordinate with the ACFM to manage Process Improvement/ Maturity Model tracking.
  • Serve as a backup to the Planner Scheduler for site accesses.
Candidate Qualifications/Requirements:
  • This position requires a minimum of 10+ years of experience with a High School Diploma, 8+ years of experience with an Associate degree, or 5+ years of experience with a Bachelor's degree

Candidate Expectations:
  • Extensive equipment background and deep familiarity with industry standard and local maintenance needs to ensure accuracy of scope work packages and assignment to the appropriate amount of resources (time, tools, and talent) for the work package.
  • Strong understanding of Critical Environments similar to high uptime industries such as those in a hospital or related high criticality fast paced environment
  • Critical thinking and process engineering focus background is a plus.
  • Strong familiarity with the Microsoft Office Suite (Outlook, Word, Excel, etc.) is required, strong skills in Excel would be considered a bonus.
  • Motivated self-started. Can be given directions and task to be completed within deadlines
