Responsibilities
- Maintain Director's and Deputy Director's calendar, schedule, and appointments, as requested.
- Post Building 20388 Conference Room Calendar.
- Monitor Office of Acquisition Management Actions, as requested.
- Maintain necessary items/correspondence, as requested.
- Receive/route incoming calls.
- Receive visitors.
- Maintain Senior Executive Service (SES) Permanent Records Management such as printing and filing email delegations for OAM Director, Deputy Director, and all Managers.
- OAM Emergency Management Support.
- Maintain and update OAM Emergency Contact Book.
- Maintain and create delegations for managers that are not on site.
- Other duties as assigned by the OAM Director and Deputy Director.
- Maintain the APM-10 Travel Mailbox. This mailbox should be regularly checked throughout the day for current travel requests and/or travel changes/amendments.
- Processing all travel requests and/or vouchers in the CONCUR Travel System and ADTRAV Travel System. This process includes the following:
- Process travel requests as soon as travel needs have been identified and approved by management;
- Upload scanned copies of travel receipts electronically for travel voucher preparation;
- Make any necessary adjustments to travel authorizations/vouchers;
- Coordinate with all travelers on all relevant travel inquiries;
- Ensure compliance with the Federal Travel Regulations (FTR) for all travel requests and/or vouchers.
- The applicant must have a United States Government issued credential that is, or can be converted to a NNSA "L" or "Q" credential.
Qualifications
- Minimum of a High school diploma.
- Minimum of 3 years' experience specializing in administrative support to high level officials.
- Bachelor's Degree can be substituted for 2 years of experience combined with 1 year of on the job experience in order to meet the minimum qualification of 3 years administrative support experience to high level officials.
- Active, or ability to convert current clearance to, DOE "Q" clearance.
- Proficiency with Microsoft Word, Excel, PowerPoint, Exchange/Outlook Mail, Internet Explorer.
- Ability to work independently and part of a team.
- Excellent oral and written communication skills.
- Strong problem-solving skills.
