Join our team as an Administrative Assistant and support Pacific Marine Environmental Laboratory (PMEL) by supporting PMEL's administrative requirements . You will make necessary arrangements for travel,and utilize the agency business management systems to monitor spending.

Work Schedule and Location:

On-Site: This full-time on-site position will work Monday through Friday, at the PMEL location in Seattle, WA.

Responsibilities

  • Make necessary arrangements for travel, both domestic and international, for Federal employees, and invitational travelers.
  • Duties include working with travel agencies to secure airline, hotel, and rental car reservations. Prepare travel orders and travel vouchers using the E2 government travel system in a timely manner. Prepare all necessary paperwork for reimbursable travel.
  • Prepare all necessary paperwork to secure official passports, visas and security clearances as needed.
  • Respond to travel audits by providing all requested documentation by stated deadline.
  • Utilize the agency business management systems (EBS, EDW) to monitor spending, validate accounting, and confirm funds availability, and monitors travel expenditures versus ceiling.
  • Provide support in general accounting.
  • General operational and program support such as performing time and attendance or timekeeper functions.
  • Provide backup support for the assigned group or for PMEL's Director and/or Deputy Director in the area of public affairs, phone calls, calendar, visitors, and any other front desk support.
  • Provide acquisition preparation support.
  • Perform assigned tasks as coordinated by the technical supervisor.


Qualifications

  • Must be a detail-oriented individual with good communication skills.
  • Associate degree or equivalent experience or technical certification.
  • 2 years work-related experience in an analytical discipline, which includes technical experience and competence in Microsoft Office Suite, Google Suite, and Adobe.
  • Knowledge of grammar, spelling, punctuation, and required formats sufficient to recognize and correct such errors in correspondence and reports.
  • Travel experience/knowledge is preferred.
