Amentum is seeking a highly motivated, self-starting Administrative Support Specialist located in the Columbia, South Carolina area. The Administrative Support Specialist will serve as the main point of contact for the Field Office and as well as being responsible for providing administrative front desk support to the customer. Applicants selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information. This is an in-office position, requiring to be on site 5 days a week. Secret clearance is required.

Essential Responsibilities:
  • Manages, controls, and issues identification badges and keys for field office staff and visitors.
  • Monitor internal and external exchanges and coordinate to ensure intra-office communications are conveyed appropriately within agency offices.
  • Assist ISSP in support of NCCA and track ECPs or other suspense tracking mechanisms as required.
  • Prepare packages and perform classified documents maintenance.
  • Assist with management of employee in and out processing
  • Performs front office reception duties
  • Scheduling and coordinating conferences and meetings; may assemble background materials, attend meetings, coordinate conference room scheduling, and record proceedings as directed.
  • Using computer system, prepares professional business communication documents including presentations, reports, memos, letters, and emails.
  • Manage Government Timecard program (DAI) and task management system (CATMS)
  • Assist in execution of office training program
  • Performs routine to advanced administrative tasks in support of the daily operations of the department.
  • Arranges and coordinates details related to travel arrangements, expense reports, and departmental budgets utilizing Defense Travel System (DTS) or MyTravel.
  • Reviews outgoing materials and correspondence for internal consistency and conformity with established procedures.
  • Orders and maintains supplies and equipment for department.
  • Assists with a variety of scheduled and unscheduled projects specific to assigned department/program.
  • May be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
  • Perform all other position related duties as assigned or requested.
  • Some off-site travel may be required

Minimum Requirements:
  • Active Secret level security clearance
  • High school diploma
  • Minimum 2 year of administrative experience
  • Working knowledge of general office procedures.
  • Fluency in English, both oral and written communication, with knowledge of business communication, including style and format of letters and reports.
  • Strong typing skills with proficiency in Microsoft applications such as Word, Excel, PDF and PowerPoint.
  • Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.
  • Ability to operate office machinery such as fax and copier machines.
  • Works independently with good decision-making skills.
  • Good interpersonal skills with the ability to interact professionally with all levels of employees and customers.
  • Requires operating application software including word-processing and spreadsheet programs.
  • Must have the ability to stand/walk for extended periods of time.
  • May require repetitive motion during work shift.
  • Ability to lift at least 20 pounds.
  • Must possess a valid driver's license

Preferred:
  • Intermediate to high proficiency in Microsoft applications, particularly Word, Excel and Outlook
  • Familiarity with the Defense Travel System and timekeeping management programs a plus

Work Environment, Physical Demands, and Mental Demands:

This is an in-office position, with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must possess planning/organizing skills, and must be able to work under deadlines.
