POSITION: NAVWAR Executive Assistant & ACTR Support
LOCATION: San Diego, CA; this is a hybrid role that requires 3 days/week on-site with the ability to be on-site additional days as required.
Position Description and Duties:
EA Support:
· Provide Executive Assistant support to a NAVWAR Competency Lead, Deputy Competency Lead, and Director of Operations to support day-to-day functions of the Program Management and Acquisition Office.
Support government leadership with exceptional organizational and communication skills.
· Oversee schedules, manage calendars, appointments, recurring meetings and engagements, and travel arrangements with accuracy.
· Plan internal and external engagements, including meetings, conferences, and events.
· Assist in the development and consolidation of briefing material and drafting documents in accordance with Navy Correspondence Manual guidelines.
· Coordinate, monitor, and execute data calls to gather inputs from both internal and external stakeholders. Consolidate and communicate information from data calls to government leadership for further action.
ACTR Support:
· Provide Assistant Customer Technical Representative (ACTR) support and serve as the first point of contact for all Information Technology (IT) matters, questions, and troubleshooting.
· Track, coordinate, and resolve day-to-day software, hardware, and Navy-Marine Corps Intranet (NMCI) operational issues, maintenance, tech refresh, and upgrades
· Submit Move, Add, Change (MAC) requests to move users, change Global Address List (GAL) entries, and move software licenses; oversee changes to existing NMCI computers, devices, and services
· Assist users with troubleshooting NMCI computer, network, software, and telework issues, including virtual private network access, microphone, camera, and video call support
· Assist users with SAAR-N, SIPRNET token request, and other forms required for IT system access
Position Requirements:
· Active Secret Security Clearance
· Minimum of 3 years NAVWAR programmatic and/or administrative experience with duties including:
o Managing incoming and outgoing communications at the Program Manager-level.
o Facilitating meetings by creating agendas, compiling documents, and assisting with presentations and briefs.
o Attending meetings to record minutes and monitor follow-up action items to completion.
· 2 years DoD/Navy ACTR or IT support experience
· Experience with government systems such as DTS, DISS (EA Support), and NET (ACTR Support) and providing associated support on these systems on behalf of Senior Leadership.
· Experience with NMCI (NIPRNet and SIPRNet) accounts and IT troubleshooting for PC desktops, Multi-Function Devices, and printers.
· Experience with standard NMCI technical support including user account creation (NIPR and SIPR), troubleshooting account issues, and deactivating accounts
· Proficient with Microsoft Office Suite, including SharePoint, Teams, and Planner.
· Ability to interact effectively with individuals at all levels to assist in the planning and coordination of activities with other NAVWAR and Navy organizations.
· Experience managing multiple activities with different clients, including changing priorities and short turn-around timelines.
