Location: Washington, DC

Clearance : Secret clearance (active ideal; must be a US Citizen)

Summary: The individual will serve as a Project Coordinator for SCaN at NASA HQ. The primary responsibility for this position will be to assist a government office with travel support and other administrative and coordination tasks.

Responsibilities:
  • Provides coordination support to high-level leadership including coordinating with multiple stakeholders. Provide administrative support including tracking status of items, reports and assisting in meetings and events.
  • Maintains ownership of the deputy's calendar and managers meetings, events and deconflicts the calendar as necessary.
  • Identifies solutions to adjust schedule, assess conflicts and provide up to date information on schedule issues to the stakeholder.
  • Support management of Smartsheet system and other actions tracking tools within SCaN.
  • Maintain actions for the front office and program manager's deputy. Coordinate with other admins and team to complete and reconcile actions.
  • Responsible for coordination of business practices including correspondence, creating and completing process for White Papers, decision memos and other deliverables.
  • Provides travel management support and travel budget reconciliation for SCaN's front office.
  • Identify requirements and needs on logistics and asset management across the program.
  • Create PowerPoint Presentations and graphics to support program briefings.
  • Coordinate strategies on organization updates due to agency changes and/or internal and external factors. Maintain internal tracking system on change management areas for the future.

Requirements:
  • Previous experience in the government or aerospace industry will be viewed favorably. Previous experience with Concur Government Edition (CGE) is also beneficial.
  • Knowledge and experience using Microsoft Office products is critical, including Outlook, Word, Excel and PowerPoint.
  • Comfortable using website applications to coordinate activities, store files, and enter data as needed. Experience with SharePoint is preferred.
  • Should possess strong analytical and interpersonal skills.
  • Possess excellent written and oral communication skills, attention to detail, and the ability to prioritize projects to meet deadlines.
  • The individual will be expected to learn general information about the major projects of the office and key terminology. A proactive and flexible demeanor is greatly preferred, to successfully support this dynamic, high-profile office.
  • Team player with a positive, can-do attitude and a willingness to learn new processes.
  • Ability to prioritize work and know how to communicate time estimates when there are competing priorities; can status assignment progress.
  • Some travel may be necessary -- locally and in US.
  • Must be U.S. Citizen and be able to obtain a government issued Secret clearance.

Please note: Executives travel frequently, so this position may be filled at NASA Headquarters (HQ) or NASA Johnson Space Center (JSC). It is anticipated to be full time onsite and will require occasional travel to NASA HQ or JSC depending on customer needs.

Education/Experience:
  • Bachelor's degree with 2 or more years of relevant work experience.
  • NASA experience preferred.
