Position is for a full-time contractor Administrative Support Specialist III that supports the Director of EHSS-41. This role is onsite at the Department of Energy's Forrestal Building in Washington, DC.

This position supports the Office of Headquarters Physical Security Operations (EHSS-41) in the Department of Energy (DOE) Office of Environment, Health, Safety and Security.
Position is for a full-time contractor Administrative Support Specialist III that supports the Director of EHSS-41. This role is onsite at the Department of Energy's Forrestal Building in Washington, DC.
Responsibilities:
- Process U.S. and foreign unclassified visitor requests to HQ, DOE.
- Process and approve visitor management system (VMS) requests.
- Process security credentials for DOE Federal and contractor personnel.
- Process and track the issuance and recovery of Federal Badges and Credentials.
- Process Foreign Access Control Tracking System (FACTS) requests.
- Process Freedom of Information Act (FOIA) requests.
- Attend meetings as directed, track key program elements and requirements.
- Track program task due dates both internal and external.
- Track & coordinate program SOP's including review dates.
- Process adjustments to the Modified Screening List as approved by the Federal Security Manager (FSM) or Director.
- Process adjustments to the ADA access list as approved by the FSM or Director.
- Maintain the Director's meeting schedule.
- Other administrative tasks as required by the Director.
Required Qualifications:
- The individual must possess at least a High School Diploma or equivalent.
- Must obtain and maintain a "Q" security clearance. The candidate's written consent to conduct a background check for the purposes of maintaining a security clearance will be required as a condition of employment.
- Minimum of five (5) years of experience in performing and expediting administrative, document creation and editing, and report production support type tasks in a multi-person organization with an emphasis on responsiveness, timeliness, and accuracy.
- Must possess demonstrated interpersonal communications skills, have experience in managing inter- and intra-office incoming and outgoing correspondence, and have experience in filing and record management.
- Individual must possess demonstrated interpersonal communications skills necessary to interface with Department of Energy Headquarters and field personnel.
- Experience with state-of-the-art software in a Local Area Network (LAN) environment, including document creation and editing, scheduling and calendar software, graphics, spreadsheets, record management and electronic mail.
- Provides support in typing correspondence and/or reports, document distribution, filing, travel arrangements, and other general office duties.
- Ability to work independently with limited guidance.
- Demonstrated ability to prioritize and manage multiple tasks and subject areas.
- Ability to work Monday through Friday in office in Washington, D.C.
- Able to travel up to 10%.
- Ability to sit for extended periods and perform work in an office environment, including extensive use of computers.
- Certain positions requiring a security clearance may require the periodic successful completion of a counterintelligence-scope polygraph examination.
- Pre-employment and ongoing reviews and tests for the absence of any illegal substances will be conducted as a requirement for ongoing access to DOE sites. The candidate's written consent to conduct such tests will be required as a condition of employment.
Desired or Preferred Qualifications:
- Possess a bachelor's degree from an accredited university or college in such fields as criminal justice, security management, or security operations. Two years of relevant experience may be substituted for a bachelor's degree.
- Experience with processing and storage of classified matter; this includes, but is not limited to, maintaining all files in accordance with the current Records Inventory and Disposition Schedule and maintaining accountability of any classified Accountable Media assigned to EHSS-41, and the protection of property and assets.
- Experience utilizing eDocs application to provide training and assistance for other offices and direct point of contact for all correspondence for the Director and Federal oversight personnel.
- Demonstrated ability to evaluate the application of a wide range of plans, systems, and procedures sufficient to evaluate compliance with regulations, and standards and the overall effectiveness of a program.
- Ability to provide well-written and concise analytical reports and to include recommendations using sponsor formats; reports should provide sufficient detail to enable the government to make informed decisions.
- Experience in the DOE complex, specifically Safeguards and Security.
- Knowledge of DOE Headquarters roles and functions.
