Administrative Assistant

The Administrative Assistant will prepare reports & related correspondence in accordance with the Commanders' Support Staff Execution, Organization, and Responsibilities and USAF/USSF regulations and aid the government in organizing conferences and events.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Aiding the government in organizing up to 20 conferences/events annually
  • Analyzing special projects and action times to provide administrative support to staff
  • Reviewing materials submitted for projects is related and procedures are met
  • Assisting in the creation of new administrative policies and procedures for the unit up to 4 times annually
  • Reviewing action papers and all documentation for style, composition, and grammar accuracy; making recommendations and/or corrections based on content, accuracy, grammar
  • Researching office automation tools, read vendor manuals and applies techniques to developing new approaches pertaining to administrative practices and clerical procedures for processing and routing of correspondence
  • Acting as the unit's SharePoint administrator; manages unit's knowledge management requirements
  • Managing collaboration and workflow/tasking software/processes and worksheets
  • Managing calendars, meetings, read ahead material; attendees for up to 5 assigned leaders daily
  • Assisting government staff in preparing memorandums and all other unit level correspondence
  • Leveraging Department of the Air Force Guidance Memorandum to AFH 33-337, The Tongue and Quill for guidance on reporting reports and correspondence
  • Assisting the government in preparing travel orders for leadership personnel
SUPERVISORY/MANAGEMENT AUTHORITY
  • This position has no supervisory and/or managerial authority
EDUCATION AND EXPERIENCE
  • Bachelor's Degree
  • 5-7 Years' Experience in an Administrative Assistant role, government experience preferred
KNOWLEDGE, SKILLS AND ABILITIES
  • Familiar with MilPDS, LeaveWeb, IAO Express, MyFSS, and CitiManager (Credit Cards)
  • Familiar with CSS (Trusted Agent for the Drug Demand Reduction Program)
  • Familiar with Personnel Flight (Evaluations and Retirement paperwork)
  • Ability to manage Outlook calendars and meeting coordination
  • Ability to manage/maintain SharePoint sites
  • Excellent organizational, interpersonal and judgment skills
  • Excellent oral and written communication skills
  • Proficient with the Microsoft Office Suite (Word, Excel, Power Point, SharePoint, Outlook)
  • Candidates must be US Citizens
  • Candidates must hold an active SECRET clearance
  • Candidates will be subject to a US Federal Government background investigation and must favorably pass a drug screen

WORK ENVIRONMENT
  • Workspace will be in a US Government Facility with controlled access and/or military installation, full time on-site.
