Overall Assignment Description:
The Level 4 Staff Officer will provide high-level operational and administrative support within the Career Service staff. This role requires a versatile professional who can handle a wide range of office functions, manage physical and digital space, maintain records, and ensure the timely completion of formal taskers. The ideal candidate will be multifaceted, capable of handling diverse responsibilities while offering organizational and logistical support to both internal and external stakeholders. This position demands a proactive individual who can manage space, records, and workflows efficiently, while also serving as a key point of contact for coordination across teams.
Key Responsibilities:
General Administrative Support:
• Offer administrative assistance to HD Career Service staff, including scheduling, correspondence management, and general office operations.
Space & Records Management:
• Manage physical and digital office spaces, ensuring optimal organization and accessibility.
• Oversee records management, ensuring compliance with organizational policies and retention schedules.
Tasker & Workflow Management:
• Track and manage tasker workflows, ensuring timely and accurate completion.
• Provide support for formal taskers by documenting and processing requirements according to organizational needs.
Event & Logistics Support:
• Coordinate logistics for meetings, events, technical reviews, and focus group sessions.
• Organize travel arrangements and manage related tasks through the Defense Travel System (DTS).
Communications & Documentation:
• Develop and maintain Standard Operating Procedures (SOPs) and other documentation in alignment with NGA standards.
• Facilitate communication between various working groups, boards, and other internal and external teams.
Skills & Experience:
Required:
• Minimum of 5 years of experience in a professional administrative or staff officer role.
• Demonstrated ability to manage physical and digital space and oversee records management.
• Tasker management experience with the ability to track and process workflows efficiently.
• Familiarity with advanced features of Microsoft Office, SharePoint, and DTS.
• Strong written and verbal communication skills, with the ability to develop and maintain SOPs and documentation.
• Active TS/SCI clearance.
Desired:
• Bachelor’s degree in Business Administration, Human Resources, or a related field (equivalent experience will be considered).
• Experience within the Intelligence Community or Department of Defense.
