Description:

As an Operations Manager for HigherEchelon, you will sit at the nexus of executive leadership, project managers, and human resources to help coordinate HigherEchelon's rapidly growing Salesforce Practice. As we grow, the Salesforce Practice needs to ensure our planning, budget forecasting, and personnel onboarding are all working at peak efficiency. This key resource will synthesize inputs from across the practice to help us anticipate new work, understand when current work is ending, and be plugged into personnel changes both incoming and outgoing. Using that data, this resource will model the loading plan, and help formulate a weekly, monthly, and quarterly forecast for the business. Depending on the candidate's background and skills, there are opportunities to handle smaller project manager duties and/or take on direct reports as we grow.

Responsibilities and Expectations:

Own Resource Loading effort
  • Gain an understanding of all existing projects to understand project resourcing requirements
  • Maintain resource loading toolset in Salesforce
  • Maintain weekly Resourcing Future Outlook decks and processes

Personnel planning process
  • Liaise on a regular basis with leadership and BD function to anticipate incoming work, anticipate when work will be completed, and model the staffing and revenue impact
  • Manage and leas the employee onboarding process outside of HR responsibilities
  • Assist in ensuring new team members are set up with billing codes on the HigherEchelon side and are supported with contract paperwork either through an end customer or the prime contractor
  • Monitor the monthly resource utilization report to identify low-utilized resources to help with resource planning

Manage Forecasting Process
  • Work with Program Managers and Project Managers on a weekly basis to report project forecast updates to leadership
  • Proactively identify project budget issues and work with Program Managers, Project Managers, and leadership to correct early
  • Manage forecast for small work that doesn't have a Project Manager
  • Assist Program Managers with forecasts when required
  • Understand HigherEchelon's billing schedule and Holiday schedule to keep forecast accurate

Lead the project transition process from our sales team to our project team

Assist the sales team with proposal writing/ proposal pricing when needed

Manage our Salesforce partner portal, including managing our partner scorecard and setting up new team members in our partner portal

Act as the Quality Management Representative (QMR) for the Salesforce practice

Implement new processes that align with the Salesforce practice's goals

Assist the Salesforce practice Executive Vice President with daily and weekly task

Assist our recruiting team with hiring efforts

Optionally handle PM duties on small, short-term efforts within the practice

Optionally take on management of direct reports within 6-months of onboarding

Required Skills:

Financial Acumen
  • Needs to understand how to create and manage a project budget/ forecast
  • Needs to be able to forecast project issues and explain how it affects the project budget.
  • Needs to understand how to resource a project with the budget in mind.

Salesforce experience
  • The candidate should understand project management agile methodology
  • It is preferred that the client has experience running a Salesforce project or understands how a Salesforce project should be managed. This can be taught on the job, but the ideal candidate has this experience.
  • It is preferred that the candidate has a Salesforce certification.

Good communications
  • Needs to be able to be efficient in gathering information from busy people.
  • Needs to be able to communicate to executives and anticipate secondary and tertiary questions that may arise from the presented data.
  • Build and form relationships both inside of HE and with customers and vendors.

Weekly

Sync with project managers to understand financial and project challenges

Coordinate with Program Managers and Project Managers for budget forecasting

Update Resource Loading Analysis

Review and update Salesforce Resource Loading records

Sync with recruiting on latest hiring activity

Sync with Practice Lead on insights, concerns

Sync with Biz Dev on updates on incoming work

Manage a project weekly report that is sent to our leadership team

Monthly

Hold project transitioning calls to prepare for upcoming project transitions

Lead the monthly Salesforce practice status meetings

Quarterly

Lead the quarterly Salesforce practice status meetings

Education:

Bachelor's degree required, and Master's degree preferred

US. Citizenship is required
