o The Admin Assistant (AA) shall, under Sponsor direction, provide administrative support services to assist in meeting the mission requirements of customers throughout the Sponsor's organization.
o The Admin Assistant will be required to interact extensively with customers throughout the Organization as well as Division personnel and the Office to which they belong. They will be required to work independently as a member of a larger team performing both transactional work and work that requires critical thinking skills. For example, the candidate will be required to provide superior customer service by understanding customer requests/issues and research possible causes and generating solutions. The candidate will be required to provide instructional briefings in a classroom setting to groups of up to approximately 25 people.
o Travel to/from other buildings within the WMA may occasionally be required to attend meetings and transport paper requests. A GOV may be provided based on availability.
o The Division is seeking an experienced Administrative Assistant {AA) who is proficient in Microsoft Outlook as the primary means of correspondence with customers.
o The candidate should have intermediate knowledge of Microsoft Office, Excel, and SharePoint and other Sponsor databases as needed. Specialized and OJT training will be provided upon arrival for Sponsor specific systems.
o The candidate will serve as the main POC for all incoming requests to update and or amend sponsor security files. It is a high profile position with considerable interfaces with both candidates but representative of sponsors unique systems.
o The candidate will be responsible for setting up user accounts and accesses for multiple Sponsor unique systems and will perform data clean up tasks as appropriate.
o The candidate will also provide operating instructions to users after activating their accounts. At the direction of the Division, the candidate will work with developers to correct inaccurate biographical data and security related information and will review new user accounts for other external customers.
o The candidate will confirm and maintain office access in the appropriate Sponsor system.
o The candidate will review daily reports and report those findings to the appropriate programs and update the Division spreadsheet with new information. Following an SOP, candidate will be responsible for advising customers points of contact with any cases that may give rise to an actual or potential conflict of interest, organizational or otherwise. Candidate will provide instructional briefings in a classroom setting.
o The candidate must protect from the unauthorized release of customer information and data and employ the "need to know" principle.
o The candidate will be responsible for tracking, gathering information, and drafting responses to Sponsor action tracker submitted to the office for action as requested. Actions may include the gathering of metrics, milestone tracking and gathering of weekly/monthly highlights or accomplishments.
o The candidate will report the monthly mileage of the Division's government owned vehicles (GOV) and notify the Sponsor of any maintenance issues.
o The candidate will also ensure the vehicle log books are properly documented for the four vehicles as they are signed in and out.
