o The Administrative Assistant (AA) Level IV will be part of the division's front office team comprised of 10 officers but will also support the entire division. The Team is looking for an energetic, customer service, detail oriented individual to support the training center.
o The AA will interact with all levels within the division to include some external customers including IC organizations and industry partners.
o The AA will be expected to work independently on tasks assigned by the principals. This will include, but not limited to, email and calendar management, maintain and update records, check in/out process, track and manage all administrative needs of the office, T &A administrator, and act as the office manager. The AA will be the conduit to support to ensure that all support needs are met (i.e. facility, logistical, and budgetary requirements) for the office. Strong customer service and communication, both verbal and written, are required
o The AA should have intermediate to advanced knowledge with Microsoft Office suite) and Outlook Prior Government experience is highly desirable especially with Sponsor access and request systems.
o A minimum of 12 months experience as an AA Level IV is preferred. The office will provide training on unfamiliar Sponsor systems.
o The AA Contractor is expected to be the point of contact for the office and relay any messages or disseminate any concerns throughout the office based on define priorities set by the executive officers. Will maintain an awareness of internal structural levels and hierarchy within the organization by being cognizant of internal and external Senior Executive interrelationships, styles, and methods of operation. Greets visitors at all levels for three executive officers and escorts visitors as needed.
o The AA Contractor will be responsible for passing clearances for occasional VIP visitors.
o The AA Contractor shall be able to distill the purpose, importance, and audience and summarize for the Senior Executives' understanding all correspondence, E-mails, etc. Able to glean any important nuances or sensitive topics and highlight them for Senior Executives' attention. Also, follow-up with any actions to ensure they are completed within/by deadline.
o The AA will be responsible for the collection of weekly highlights to provide to the Front Office to include collection of information from multiple divisions, compiling and formatting information, and submission to Front Office.
o The AA Contractor will be responsible for three executive officer's schedules, which requires close coordination. The AA Level IV will need to make critical, and at times, last minute changes to resolve schedule conflicts and ensure that all parties involved are updated. Must be cognitive of the criticality, sensitivity, and confidentiality of the issues they are made aware of during daily interactions and resolve conflicts with discretion, forethought and tactfulness.
o The AA Contractor will be responsible for answering the phone, handling any walk in traffic, and general queries by employees. Will ensure all communications with principals and customers is in a professional manner and courteous.
o The AA Contractor on a daily basis will intercept/redirect/review incoming E-mails, documents, and any other correspondence addressed to three Senior Executives for their action/attention.
